Terms & Conditions

1. Payments & Cancellations

Each event booked is handled as an individual transaction.

• Booking Deposit: A non-refundable £5 deposit is required per event to secure your place. An invoice will be sent within 7 days of booking; the deposit must be paid within 3 days of the invoice date.
• Final Payment: Full payment is due 70 days before each specific event. The exact due date will be noted on your invoice. Failure to pay by the deadline may result in the cancellation of your booking.

2. Refund Policy (Cancellations after Final Payment)

If you cancel after making your full payment, the following structure applies (minus the £5 non-refundable deposit):

• 51–69 Days Before: 50% refund of the total booking fee.
• 31–50 Days Before: 25% refund of the total booking fee.
• Within 30 Days: No refund will be issued.

Note: In documented cases of illness or family emergencies, I am open to discussing a refund or credit for a future event at my discretion.

3. Force Majeure

If an event is cancelled due to circumstances beyond my control (e.g., natural disasters, government restrictions, venue cancellation, or organizer illness), I will attempt to reschedule. Your booking will automatically transfer to the new date. If you cannot attend the new date, a 60% refund will be issued.

4. Stallholder Commitments & Promotion

• Marketing: I commit 100% effort to promoting events via online campaigns, posters, and leaflets. Your promotion is also vital.
• Promotional Materials: A digital poster will be emailed to you 4 weeks before the event. Please share this on your social media channels.
• Final Details: A final briefing email (including floor plans and allocated locations) will be sent 1 week before the event.

5. On the Day of the Event

• Setup: You must be fully set up by 9:45 AM. If you arrive after 9:00 AM, your table may be reallocated to another vendor, and no refund will be given.
• Breakdown: Packing up before the official end time of 3:00 PM is prohibited without express permission. Early departure may result in exclusion from future events.
• Conduct: Respectful behavior toward fellow exhibitors, volunteers, and guests is mandatory.
• Waste: You are responsible for removing all rubbish from your pitch at the end of the day.

6. Stall Allocation & Trading Standards

• Exclusivity: We do not offer exclusivity for any specific craft or product. To maintain a healthy mix, I limit similar stalls to a maximum of two per category.
• Compliance: By booking, you warrant that all products offered for sale comply with current UK Trading Standards regulations.

7. Outdoor Gazebo Safety

Safety is a priority. All gazebo users must comply with the following:

• Weights: A minimum of 12kg per leg is required for all pitches. On grass, you must use both weights and heavy-duty stakes. Small pegs alone are insufficient.
• Weather: You must monitor conditions. If winds exceed safety ratings or become unstable, you must dismantle your gazebo immediately.
• Condition: All equipment must be in good working order. Damaged or faulty frames/canopies are not permitted.
• Pitch Space: All equipment, including weights and pegs, must stay within your allocated space and must not create a tripping hazard.

I reserve the right to cancel your booking on the day without a refund if these safety requirements are not met.

8. Insurance & Documentation

Please email copies of all certificates within 3 days of booking.

• Public Liability (Indoor): Minimum £1 million coverage.
• Public Liability (Outdoor): Minimum £5 million coverage.
• Food Producers: Must provide a valid Certificate of Premises Inspection.
• One-Day Cover: If you require temporary insurance, I can arrange this for a small fee via email.

9. Responsibility & Liability

• Damages: You are liable for any damage caused by you or your property to the venue or others.
• Loss/Theft: I am not responsible for the loss, theft, or damage of stock or personal belongings.
• Liability: Nothing in these terms limits liability for death or personal injury caused by my negligence.
